AI visibility report template and client presentation guide
An effective AI visibility report answers four questions in order: what changed, why it matters, what evidence supports the conclusion and what the client should do next. Lead with a one-page decision summary, then show methodology, prompt-level findings, source diagnosis and an owned action plan. Keep complete responses available for verification but out of the executive flow. A client should leave the presentation knowing which facts are risky, which discovery opportunities are credible and which actions have an owner and review date.
Use a report structure built for decisions
Open with scope, date range, models, markets and the fixed prompt cohort. Follow with qualified visibility, material accuracy, competitor context and significant changes since the previous period. Show a small number of findings grouped by commercial importance, not every response in chronological order. Each finding should contain the observed answer, the qualification rule, likely evidence gap, confidence and proposed owner. Add an appendix with prompt text, run metadata, full answers and citations so an informed client can challenge the classification. Methodology transparency prevents a polished deck from becoming an unexplained score.
- Executive summary: three decisions, three risks and progress on prior actions.
- Measurement frame: models, searched or knowledge-only mode, market, dates and prompt versions.
- Visibility view: qualified mentions by journey and model, separated from branded recall.
- Accuracy view: correct, incomplete, unsupported and materially wrong claims with examples.
- Action register: diagnosis, proposed change, owner, dependency, status and planned retest.
Create visuals that preserve the underlying evidence
Use trend lines only for a stable prompt cohort, and annotate prompt or methodology changes directly on the chart. A matrix can compare models and buyer journeys without inventing a universal rank. Include short answer excerpts only when the complete capture is linked or appended. Use neutral colors for missing data and a distinct treatment for not eligible, because both are different from failure. Start the reporting period with a free AI visibility scan when a prospect needs a baseline, and use the AI readiness checker to investigate technical causes rather than labeling every absence a content problem.
Present the story in a 30-minute client meeting
Spend five minutes restating scope and caveats, ten on the two or three changes that affect buyer decisions, ten agreeing actions and five confirming owners and retest timing. Do not read the deck aloud. Begin with the answer, open the underlying evidence when challenged and park exploratory questions that would distort the benchmark. ModelSaid Agency supports white-label share pages and printable reports for an agency-branded experience, along with monthly visibility scans and daily technical monitoring across up to ten included businesses. Review current pricing and plan details before promising a feature or quota in the client scope.
- Freeze the reporting cohort and note any approved prompt changes before calculating trends.
- Review classifications internally with a second person for high-impact claims.
- Draft the executive page last, using only findings supported in the evidence appendix.
- Pre-assign likely owners so the meeting can make decisions instead of discovering stakeholders.
- Send the action register after the meeting and carry unresolved items into the next report.
Add a presenter note for every important chart: the decision it supports, the caveat that matters and the evidence to open if challenged. Rehearse transitions with the account lead so uncertainty is explained consistently rather than improvised defensively. If a client disputes eligibility or a factual classification, capture the decision and update the rule for future reports. Do not revise historical data silently. A visible note preserves the old observation and explains the new interpretation, allowing the trend to remain auditable while the methodology improves.
Make the template honest and reusable
Put definitions directly in the template: qualified mention, accuracy issue, citation, recurrence and resolved action. Distinguish observation from inference and label the latter. Never imply that a visibility change caused pipeline or revenue without an appropriate measurement design. Include negative and null results, disclose when an on-demand check differs from the scheduled cohort and avoid decorative precision. The best template reduces analyst discretion while preserving professional judgment. It gives every client the same evidentiary standard but allows business-specific prompts, risks and actions. Use the schema validator when a recommended fix involves structured data, and show validation as implementation evidence rather than proof that an assistant will change.
