Weekly AI visibility checklist for marketing teams
A useful weekly AI visibility checklist is an exception review, not a ritual of manually asking hundreds of questions. Check whether priority answers changed, whether factual errors or competitor substitutions matter, whether owned evidence changed, and whether an assigned action is due. Preserve a stable benchmark and separate normal generated variation from persistent movement. The weekly output should be a short queue with evidence, severity, owner and next verification date.
Monday: review alerts and collection health
Confirm scheduled observations ran under the expected language, market, model or mode and prompt version. Triage alerts by customer harm and business relevance rather than percentage movement alone. Open the complete response for every high-severity change: a missing mention may be harmless if the brand no longer qualifies, while a confident false price or safety claim can require immediate escalation. Tuesday and Wednesday: inspect evidence and releases
Trace changed claims to current pages, documentation, profiles and available citations. Ask whether the source is inaccessible, stale, contradictory, unclear or simply absent. Review the previous week's product, pricing, policy, migration and content releases for plausible context without declaring causation. Use the schema validator when visible facts and markup may have diverged. Check canonical destinations and redirects after launches. Send corrections to the team that owns the truth rather than asking content marketing to patch every problem.
- Compare the affected answer with the last two comparable observations.
- Verify the underlying fact in the approved source of truth.
- Inspect cited pages and controlled third-party records for outdated wording.
- Link relevant releases, incidents and competitor events as competing explanations.
- Assign one proportionate action, approval route and verification window.
Thursday: check competitive and customer context
Review which competitors appear, why they qualify and how the assistant frames the tradeoff. Do not copy an unsupported claim or chase every brand in a broad list. Compare the answer with current sales objections, support questions and product strategy. Add new buyer language to an exploratory prompt pool, not immediately to the historical benchmark. Where a genuine question lacks a useful source page, draft an answer that helps the buyer decide and routes changing facts to a named owner.
Friday: publish a five-line decision brief
Summarize what changed, why it matters, what evidence supports the diagnosis, who acts, and when the team will check again. Include "no material exception" when appropriate; activity is not the goal. Roll open items forward with age and blocker visible. Monthly, review whether prompts still represent demand and whether alert rules create useful decisions. Quarterly, audit scoring definitions and archive prompts that no longer reflect product eligibility while preserving historical labels.
Keep the checklist small enough to finish. A local service rule can require same-day review for consequential factual errors, review within the week for persistent recommendation loss, and observation only for low-value ordering changes. Tailor those windows rather than presenting them as universal standards. Record vacation cover and escalation contacts for product, legal and communications questions. The process has failed if the dashboard is green only because nobody opened the answers, or if every normal variation creates an urgent meeting.
